Chargé(e) Administration RH
Context
The HR Administrative Assistant supports the HR team in the day-to-day management of administrative tasks, ensuring data quality and accuracy, compliance with internal procedures, and legal requirements. He/she contributes to delivering a smooth employee experience, facilitating the work of the HR team, and improving the overall operational efficiency of the department.
Missions
1/Operational management of employee files
- Update and maintain individual employee records (contracts, amendments, certificates, legal documents)
- Ensure proper record keeping, archiving, and confidentiality of information
2/Administrative support for recruitment & onboarding
- Prepare documents required for hiring (DPAE, contracts, health insurance and benefits enrollment documents)
- Contribute to the onboarding of new employees
3/Absence management & administrative follow-up
- Process leave requests, absences, sick leave, and update Workday accordingly
- Communicate necessary information to managers and payroll teams to ensure proper processing
4/Communication & internal relations
- Ensure the dissemination and updating of HR information (new processes, regulatory reminders, internal campaigns)
- Respond to employees' HR administrative inquiries and direct them to the appropriate contacts
5/Contribution to continuous improvement
- Propose ideas to optimize administrative processes, reduce turnaround times, and simplify repetitive tasks
- Participate in the implementation of digital tools, supporting the digitalization and streamlining of procedures
Profile
- Bachelor's degree in AES / Employee Administration / HR or Master's degree in HR
- Available as of September 2026
- Languages: French (native or bilingual) and English (professional proficiency)
- Advanced use of Microsoft Office tools
- Excellent verbal and written communication skills, with strong structuring, argumentation, analytical and synthesis capabilities
- Basic administrative and legal knowledge of employment law
- Ability to adapt communication style and posture to different stakeholders
- Rigor, organization, anticipation and prioritization skills
- Strong HR mindset, embodiment of company values, and a high sense of confidentiality
- Autonomy, proactivity, dynamism, adaptability, and versatility
Conditions
- Apprenticeship
- Based in Paris La Villette.
- Current remote working policy: 8 days per month, subject to manager and team approval; possibility to take one full remote-working week per quarter.
