POSITION SUMMARY
The Event Coordinator prepares all documentation and coordinates with the Sales team, the various departments of the company, and clients during all phases of event planning to ensure excellent service quality. They ensure smooth communication between the sales teams, clients, and operational departments. They act as the key contact for event planners within the hotel and are responsible for ensuring the guest experience.
SPECIFIC MISSIONS:
* Event Management:
* Manages rooming lists, enters them into IT systems, and manages meeting spaces; o Applies company standards and procedures;
* Participates in and leads pre- and post-event meetings (BEO Meetings) for groups to convey client needs and/or feedback to the departments involved in the event;
* Supervises and actively participates in the smooth running of the service by coordinating teams;
* Ensures that meeting rooms or reception areas are set up as indicated on the function sheets;
* Monitors all meeting rooms before each internal or external event to ensure they meet client expectations and internal requests;
* Supports problem resolution and proposes alternative solutions to what was initially planned, if necessary;
* Identifies operational incidents and works collaboratively with team members and clients to resolve issues or find alternative solutions if necessary.
* Manages client budgets to maximize revenue while meeting client needs;
* Follows up with clients after the event to ensure client satisfaction;
* Maintains ongoing and effective communication with all departments involved in the event organization (Event Services, Sales, Kitchen, Finance, etc.) and ensures the transmission of information to the teams;
* Sales Strategy:
* Makes additional sales on products or services throughout the event;
* Participates in client visits and assists the sales team in the sales process if necessary;
* Acts as a liaison between the sales team and the client throughout the event process and after the event;
* Financial Strategy:
* Participe à gérer le chiffre d'affaires et la rentabilité des événements ;
* Contrôle et revoit la facturation ainsi que les paiements auprès des clients en collaboration avec le service Finance en respectant les procédures internes ;
* Guest Relationship :
* Communicates with clients to obtain feedback regarding their satisfaction or areas for improvement;
* Manages customer requests, complaints, or incidents;
* Informs clients of their presence throughout their event;
* Follows up with clients after the event;
* Reviews client comments and satisfaction with the teams;
* Coordinates and communicates event details with clients;
* Human Resources Strategy:
* Establish and maintain an open and efficient working relationship with all team members;

Housing:
Possibility of housing for candidates not living in the region. 100EUR per month.
